Terms of Service

By accessing or using Virtual Hair Consult (“the Service”), you agree to be bound by these Terms. If you are using the Service on behalf of a salon or business, you represent that you have authority to bind that business to these Terms. If you do not agree, do not use the Service.

Virtual Hair Consult is a SaaS platform that enables hair salons to offer AI-assisted virtual consultations to their clients. Clients submit photos and hair details through a widget embedded on the salon's website. An AI model generates a preliminary service recommendation, which a licensed stylist reviews and approves before anything is sent to the client. The Service facilitates this workflow — it does not itself provide hair services or employ stylists.

As a salon subscriber, you agree to:

• Use the Service only for legitimate hair consultation purposes
• Ensure a qualified stylist reviews every AI recommendation before it is sent to a client
• Obtain appropriate consent from clients before collecting their photos and personal information
• Keep your dashboard password confidential and notify us promptly of any unauthorized access
• Not exceed the consultation quota for your plan; excess usage may be paused until your next billing cycle

You are responsible for the accuracy of any service descriptions, prices, and booking information you configure in your dashboard.

The AI-generated analysis is a drafting tool, not a professional assessment. Recommendations are always subject to stylist review before delivery to a client. Virtual Hair Consult makes no guarantee as to the accuracy, completeness, or suitability of any AI output. Final responsibility for the recommendation sent to a client rests with the reviewing stylist and their salon.

By submitting a consultation, you confirm that you are 13 years of age or older and that any photos you upload are your own or you have the right to use them. You understand that the recommendation you receive has been reviewed by a licensed stylist at the salon you selected, and that final pricing and availability are subject to confirmation at the time of booking.

Salon subscriptions are billed monthly or annually through Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis at the rate shown at signup.

• You may cancel at any time from your dashboard. Cancellation takes effect at the end of the current billing period.
• We do not offer refunds for partial billing periods.
• If a payment fails, access to the Service may be suspended until the balance is resolved.

The Service, including its software, design, and branding, is owned by Virtual Hair Consult. You retain ownership of any photos and content you upload. By using the Service, you grant us a limited license to process and store your content solely for the purpose of delivering the consultation workflow described above.

To the fullest extent permitted by law, Virtual Hair Consult shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to dissatisfaction with a hair service received following a consultation. Our total liability for any claim arising from the Service shall not exceed the amount you paid us in the three months preceding the claim.

We reserve the right to suspend or terminate access to the Service for any account that violates these Terms, engages in abusive or fraudulent activity, or for non-payment. Salon data will be retained for 30 days following termination and then deleted.

We may update these Terms from time to time. We will notify active salon subscribers by email of material changes. Continued use of the Service after the effective date of any change constitutes acceptance of the updated Terms.

These Terms are governed by the laws of the State of Florida, without regard to its conflict of law provisions.
