Privacy Policy

Virtual Hair Consult (“we,” “us,” or “our”) provides an AI-powered virtual consultation platform for hair salons. This policy explains what information we collect, how we use it, and how it is protected. It applies to both salon owners who use our platform and clients who submit consultations through a salon's widget.

When a client submits a consultation through a salon's widget, we collect:

• Photos — a current hair photo and, optionally, an inspiration photo
• Contact information — name, email address, and optionally phone number
• Hair details — current hair length, chemical or color history, desired timeline, known allergies, and budget range
• Consultation notes — any free-text description of the look the client is seeking
• Consent records — whether the client consented to email communication and photo use

When a salon signs up for a paid plan, we collect business contact information, billing details processed by Stripe, and account credentials. We do not store full credit card numbers — all payment processing is handled by Stripe.

Client information is used solely to deliver the consultation service:

• Photos and hair details are sent to an AI model to generate a service recommendation. The AI is operated by a third-party provider (see below).
• The recommendation, along with the client's photos, is presented to the salon's stylist for review and approval.
• Once approved, a confirmation email is sent to the client with the stylist's recommended service and pricing.
• If the salon has enabled hairstyle preview, photos may also be processed by YouCam to generate a simulated result image.
• Corrected AI recommendations may be stored anonymously to improve future analysis accuracy for the same salon.

We rely on the following third-party services to operate the platform:

• Firebase (Google) — database and photo storage
• AI providers — Anthropic, OpenAI, Google, or DeepSeek (whichever the salon has configured) for hair analysis. Photos are transmitted to these providers for analysis and are subject to their respective privacy policies.
• YouCam (Perfect Corp) — optional hairstyle preview generation
• Resend — transactional email delivery
• Stripe — payment processing for salon subscriptions

Consultation records, including photos, are stored until the salon deletes them from their dashboard or closes their account.

Clients may request deletion of their consultation photos and data by replying to their confirmation email. We will process deletion requests within 30 days.

We use httpOnly session cookies solely to maintain authenticated sessions for salon dashboard users. No tracking or advertising cookies are used.

All data is transmitted over HTTPS. Photos are stored in Firebase Storage with access controls. We do not sell, rent, or share client data with any party other than the salon that received the consultation and the third-party services listed above.

Our service is not directed at children under 13. We do not knowingly collect personal information from children.

We may update this policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
